Request for Proposal (RFP) for On-Call Engineering Services
I. Introduction
The Town of Miami is seeking proposals from qualified engineering firms and individuals to provide on-call engineering services. The selected firm or individual will assist with various engineering projects on an as-needed basis. This RFP outlines the scope of services, submission requirements, and evaluation criteria.
II. Scope of Services
The selected engineering firm or individual will provide services, including but not limited to:
- Project planning and design.
- Structural, civil, and mechanical engineering.
- Environmental assessments.
- Construction management and oversight.
- Cost estimating and budgeting.
- Technical consultation and support.
III. Submission Requirements
Interested firms and individuals must submit the following:
- Cover Letter: A brief introduction of the firm and/or individual its interest in providing on-call engineering services.
- Company Profile: A detailed overview of the firm, including history, organizational structure, and areas of expertise.
- Experience and Qualifications: A summary of relevant projects and experience, including client references.
- Project Team: Resumes and qualifications of key personnel who will be assigned to the projects.
- Approach and Methodology: A description of the firm’s approach to delivering on-call engineering services.
- Pricing: A detailed fee structure, including hourly rates for different personnel and any other relevant costs.
IV. Evaluation Criteria
Proposals will be evaluated based on the following criteria:
- Experience and qualifications of the firm and project team.
- Demonstrated understanding of the scope of services.
- Quality of approach and methodology
- Cost-effectiveness of the proposed fee structure.
- References and past performance.
V. Legal and Regulatory Compliance
The selected firm must comply with all applicable laws and regulations, including but not limited to:
- Arizona Revised Statutes: The firm must adhere to the laws and regulations set forth by the state of Arizona, which can be found here.
- Gila County Ordinances: The firm must comply with the ordinances adopted by the Gila County Board of Supervisors, which can be found here.
VI. Submission Instructions
Proposals must be submitted to Town Clerk, Karen Norris norris@miamiaz.gov by Tuesday, June 24, 2025, no later than 3:00 p.m. Bids must be sealed, labeled “On-Call Engineering Services Proposal,” and delivered to 500 W. Sullivan Street, Miami, AZ 85539. Late submissions will be returned unopened. The Town of Miami may waive informalities in the bids, may negotiate with any and all bidders, and may reject all bids if it is deemed in the best interest of the Town.
